Terms of Use

By creating an account or using BookYourPTO, you confirm that you are at least 18 years old and have the legal authority to enter into these Terms on behalf of yourself or your organization.

We may update these Terms from time to time. Continued use of the platform after changes constitutes acceptance of the revised Terms.

You are responsible for maintaining the security of your account credentials. You must:

• Provide accurate and complete registration information
• Keep your password secure and confidential
• Notify us immediately of any unauthorized access
• Accept responsibility for all activity under your account

If you create an account on behalf of an organization, the organization's administrators are responsible for managing user access, permissions, and the conduct of all users within that organization's workspace. We reserve the right to suspend or terminate accounts that violate these Terms.

Account & Data Deletion

BookYourPTO provides in-app account deletion in our web and mobile (iOS and Android) apps so you can remove your own account, and — for organization administrators and executives — an entire organization and all of its data. Deletion requires confirmation via a one-time code sent to your email, is permanent, and cannot be reversed. Deletion is user-initiated: you (or your organization's administrator) are solely responsible for data removed through this feature, and AnHourTec is not liable for any loss of data or access resulting from a deletion you choose to perform. We make a data export available so you can save a copy before deleting. We may retain anonymized or aggregated data, and records we are legally required to keep, after deletion as permitted by applicable law and described in our Privacy Policy.

You agree not to:

• Use the platform for any unlawful purpose
• Attempt to gain unauthorized access to any part of the platform
• Interfere with or disrupt the platform's infrastructure
• Upload malicious code, viruses, or harmful content
• Reverse engineer, decompile, or disassemble any part of the platform
• Resell or redistribute the platform without written consent
• Use automated systems to scrape or extract data from the platform (this does not apply to authorized access via the BookYourPTO MCP server — see Section 7)

You are responsible for ensuring that your use of the platform — and the data you upload about your employees or third parties — complies with all laws applicable to you, including employment and data-protection laws.

BookYourPTO offers a free plan and paid subscription plans. By selecting a paid plan, you agree to the pricing and billing terms presented at checkout.

• Payment processing: Paid plans are billed through our payment processor, Stripe. You authorize us and Stripe to charge your payment method for all applicable fees.
• Billing cycle & auto-renewal: Subscriptions are billed in advance on a monthly or annual basis and automatically renew at the end of each billing period until cancelled. You may cancel at any time from your billing settings; cancellation takes effect at the end of the current billing period.
• Free trial: Paid plans may include a free trial. Unless you cancel before the trial ends, your subscription will automatically convert to a paid plan and your payment method will be charged.
• Taxes: Fees are exclusive of taxes. You are responsible for any applicable sales tax, GST/HST, VAT, or similar taxes, which may be added to your invoice.
• Price changes: We may change our fees. We will give you reasonable advance notice of any price change, which will take effect at your next renewal.
• Non-payment: If a charge fails or fees are overdue, we may suspend or downgrade your access until payment is resolved.
• Downgrades: If you downgrade or your usage exceeds your plan limits, certain features or data may become restricted in accordance with the selected plan.

Refunds are handled in accordance with our Refund Policy.

The platform, including its design, code, features, and content, is owned by AnHourTec and protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable, revocable license to access and use the platform for your internal business purposes in accordance with these Terms.

You retain ownership of all data you and your users submit to the platform ("Customer Data"). By using BookYourPTO, you grant us a limited license to host, process, and transmit Customer Data solely to provide and improve the services and as described in our Privacy Policy.

Feedback: If you send us suggestions or feedback, you grant us a perpetual, royalty-free license to use it to improve our products, without obligation to you.

BookYourPTO offers optional integrations with third-party services, including Google Calendar, Microsoft Outlook Calendar, and Intuit QuickBooks Online. By connecting these services, you authorize BookYourPTO to access your account data as described in our Privacy Policy.

• Third-party integrations are entirely optional and can be disconnected at any time from your account settings
• We only request the minimum permissions required for each integration to function
• You may also revoke access from the third-party provider's account settings at any time
• Third-party services are governed by their own terms of service and privacy policies, and we are not responsible for them

QuickBooks Online Integration

If you connect your Intuit QuickBooks Online account, you authorize BookYourPTO to:

• Read your QuickBooks company information, employee records, chart of accounts, and department/customer lists for mapping and configuration purposes
• Create and update Bills in QuickBooks when expense reports are approved in BookYourPTO
• Create and update TimeActivities in QuickBooks when time entries are approved in BookYourPTO
• Push and pull employee records to keep both systems in sync

The QuickBooks integration is available on Business and Enterprise plans only. Data is synced only for approved records — draft or pending items are never sent to QuickBooks. You may disconnect the integration at any time, which immediately revokes BookYourPTO's access to your QuickBooks account. For full details on data handling, see our Privacy Policy.

MCP (AI Integration)

BookYourPTO offers a Model Context Protocol (MCP) server that allows you to connect third-party AI clients (such as Claude, Cursor, VS Code, Claude Desktop, and Windsurf) to your workspace. By connecting an MCP-compatible AI client, you acknowledge and agree that:

• Actions are your responsibility: Any action taken by your AI client through the MCP server (including creating leave requests, approving expenses, or modifying data) is treated as your action and subject to the same permissions and accountability as if you performed the action directly
• Third-party processing: Once your data is received by a third-party AI client, it is processed under that client's terms of service and privacy policy. BookYourPTO is not responsible for how third-party AI clients handle, store, or process your data after receipt
• Client selection: You are responsible for choosing trustworthy AI clients and ensuring they meet your organization's security and compliance requirements
• Your infrastructure: If you run the MCP server using our public Docker image, you are responsible for securing your own infrastructure, including credential management and access controls

The MCP integration can be disconnected at any time by removing the server configuration from your AI client. For full details on data handling, see our Privacy Policy.

To the maximum extent permitted by law, the platform is provided on an "AS IS" and "AS AVAILABLE" basis, without warranties of any kind, whether express, implied, or statutory, including any implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement.

We do not warrant that the platform will be uninterrupted, error-free, or secure, or that it will meet your specific requirements. BookYourPTO is a workforce-management tool and does not provide legal, tax, accounting, or HR-compliance advice. You are responsible for confirming that your leave policies, time records, and payroll-related outputs comply with the laws applicable to you.

To the maximum extent permitted by law, AnHourTec shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, goodwill, or business opportunities, arising out of or related to your use of the platform.

Our total aggregate liability for any claim arising from or related to BookYourPTO shall not exceed the greater of (a) the amount you paid us in the 12 months preceding the event giving rise to the claim, or (b) CAD $100.

Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above may not apply to you.

You agree to indemnify, defend, and hold harmless AnHourTec and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or related to: (a) your use of the platform; (b) your violation of these Terms or applicable law; (c) the Customer Data you upload, including any claim that it infringes a third party's rights or was collected or used unlawfully; or (d) actions taken through your account, including via connected AI clients or integrations.

You may close your account at any time. We may suspend or terminate your access if you violate these Terms, fail to pay fees, or to comply with law, in some cases without prior notice.

Upon termination, your right to use the platform ceases immediately. Sections that by their nature should survive termination (including Fees owed, Intellectual Property, Disclaimer of Warranties, Limitation of Liability, Indemnification, Confidentiality, and Governing Law) will survive. We will retain and delete your data in accordance with our Privacy Policy.

Each party may have access to the other's non-public information ("Confidential Information"). Each party agrees to use the other's Confidential Information only as needed to perform under these Terms and to protect it with reasonable care. This does not apply to information that is or becomes public through no fault of the receiving party, was already known, or is independently developed. We treat your Customer Data as your Confidential Information.

If a dispute arises, you agree to first contact us at legal@anhourtec.com so we can try to resolve it informally. We will attempt in good faith to resolve any dispute within 30 days of receiving written notice.

If we cannot resolve the dispute informally, it will be subject to the governing law and venue set out in Section 13. To the extent permitted by law, any claim must be brought within one (1) year after it arises.

These Terms are governed by and construed in accordance with the laws of the Province of British Columbia and the federal laws of Canada applicable therein, without regard to conflict-of-law principles.

Subject to Section 12, you agree that the courts located in British Columbia, Canada will have exclusive jurisdiction over any dispute arising out of or relating to these Terms, and you consent to the personal jurisdiction of those courts.

Your use of BookYourPTO is also governed by our Privacy Policy, which describes how we collect, use, store, and protect personal data.

Roles: For personal data your organization enters about its employees, your organization is the data controller and BookYourPTO acts as a data processor, processing that data on your instructions to provide the services.

Organization Data Ownership: You retain ownership of all data you and your users enter into BookYourPTO. We do not claim any intellectual property rights over your data.

Data Processing Agreement: For organizations that require a formal Data Processing Agreement (DPA) under GDPR, PIPEDA, or other privacy regulations, please contact us at legal@anhourtec.com. We will provide a DPA upon request at no additional cost.

Data Portability: You may export your organization's data at any time through the platform. Upon account deletion, we will provide a copy of your data in a structured, machine-readable format upon request.

Subprocessors: We use third-party service providers to help operate BookYourPTO. A current list of our subprocessors is available on our Subprocessors page.

We strive to maintain high availability of the BookYourPTO platform. However, we do not guarantee uninterrupted access. Scheduled maintenance windows, infrastructure updates, and unforeseen events may cause temporary service interruptions.

We will make reasonable efforts to notify users in advance of planned maintenance that may affect service availability. We may also modify, add, or discontinue features of the platform from time to time.

By creating an account or being added as a user by your organization, you acknowledge and agree that your email address may be added to our marketing mailing list. You may receive periodic emails about product updates, new features, tips, and promotional content related to BookYourPTO.

You may unsubscribe from marketing emails at any time by using the "unsubscribe" link in any marketing email or by contacting us. Unsubscribing will not affect transactional or service-related communications necessary for your use of the platform.

We reserve the right to modify these Terms at any time. We will notify users of material changes via email or an in-app notice and update the "Last updated" date above. Your continued use of the platform following any changes constitutes acceptance of the updated Terms.

• Entire agreement: These Terms, together with our Privacy Policy and Refund Policy, are the entire agreement between you and AnHourTec regarding the platform and supersede any prior agreements.
• Severability: If any provision is found unenforceable, the remaining provisions remain in full effect.
• Waiver: Our failure to enforce any right or provision is not a waiver of that right.
• Assignment: You may not assign these Terms without our consent. We may assign them in connection with a merger, acquisition, or sale of assets.
• Force majeure: We are not liable for delays or failures caused by events beyond our reasonable control.
• Export & sanctions: You agree to comply with applicable export-control and sanctions laws and not to use the platform where prohibited.
• Notices: We may provide notices to you by email or in-app. Notices to us should be sent to legal@anhourtec.com.
